Job Summary:
Office Boy will fall into administrative assistants or secretaries. Their duties is to take care of various basic administrative duties, such as serving beverages to the guests or staff, handling files and papers, taking photo copies and so on.
Duties & Responsibilities:
- Organizing and maintaining paper files.
- Answering telephone & sitting at the reception area in the absence of the receptionist/secretary.
- Maintaining and devising office systems, including filing, data management etc.
- Providing information to callers, greeting persons entering organization and directing individuals to correct destination.
- Taking care of basic maintenance activities as & when directed.
- Notify management of occurring deficiencies or needs for repairs.
- Coordinating the maintenance and repair of office equipment.
- Monitoring the cleaning the office area (dusting, sweeping, vacuuming, mopping, cleaning ceiling vents, restroom cleaning, etc)
- Stock and maintain supply rooms
- Cooperate with the rest of the staff
- Follow all health and safety regulations
- Taking care of basic office purchase as directed by concern
- Monitoring the use of equipment and supplies within the office.
- Dealing with queries or requests from the visitors and employees.
- Helping the receptionist, secretaries, or other administrative assistants in performing their duties.
- Assisting management personnel in wide variety of workplace responsibilities
- To ensure, Implement, Maintain quality, safety and environmental systems in compliance with ISO 9001, 14001 and 45001 standards
- Provide the support and cooperation in regards to the Quality, Health, Safety and Environmental department requirements and Audits.
- To Report and record the QHSE dept. non-conformities and in coordination with QHSE dept for closure.
- Identifying, evaluating, and controlling hazards and risks in the workplace, ensuring compliance with relevant legislation, and promoting a culture of quality, health, safety & environmental within the organization.
- Understanding, support and follow the waste management system
- Coordinate and contact the organization ERT team during in emergency case
- Record, report the incidents and near misses to the management and QHSE dept.
Education & Experience:
- High School degree or any equivalent degree
- 2 to 3 years of experience
Required Skills:
- Proven working experience as an Office Boy.
- Knowledge of office and management techniques.
- Knowledge of basic health and safety regulations.
- Familiar with filing & maintain files
- Integrity and ability to work independently
- No time constraints
