Receptionist cum Secretary
Job Responsibilities

  • Greet and welcome guests as soon as they arrive at the organization’s reception area.
  • Direct visitors to the appropriate persons and offices they are visiting after doing due diligence.
  • Answer, screen, and forward incoming phone calls.
  • Receive, sort, and distribute correspondences.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, company brochures and magazines/ newspapers).
  • Provide basic and accurate information in-person and via phone/email.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Update calendars and schedule meetings.
  • Attend weekly corporate meetings and note the minutes of meeting.
  • Prepare and distribute correspondence, memos, letters, and reports on behalf of the MD.

Education And Qualification Requirements

  • Bachelor’s degree or related discipline.
  • Minimum of three (3-5) years relevant work experience.

Skills And Competencies

Proficiency in Microsoft Office

Proven work experience as a Receptionist, Executive secretory.

Hands-on experience with office equipment (e.g., computer and printers).

Professional attitude and appearance.

Solid written and verbal communication skills (preferably English).

Ability to be resourceful and proactive when issues arise.

Multitasking and time-management skills, with the ability to prioritize tasks.

Customer service attitude.

Professional Reception Skills: Ability to greet and welcome guests professionally, ensuring a positive first impression of the organization.

Visitor Management: Direct visitors to the appropriate person or office after confirming their details, ensuring smooth and efficient guest handling.

Phone Management: Competence in answering, screening, and forwarding incoming calls in a courteous and efficient manner.

Correspondence Handling: Receive, sort, and distribute incoming and outgoing correspondence accurately and in a timely manner.

Reception Area Management: Maintain a clean, organized, and presentable reception area, stocked with necessary materials (e.g., pens, forms, brochures, etc.).

Information Provision: Provide accurate and helpful information to visitors in person, over the phone, or via email.

Security and Access Control: Monitor office security by following safety procedures, controlling access at the reception desk, and maintaining visitor logs and badges.

Calendar and Scheduling: Update calendars and schedule meetings, ensuring that appointments are well-coordinated and conflicts are avoided.

Minute Taking: Attend corporate meetings, take accurate meeting minutes, and distribute them as required.

Correspondence Preparation: Prepare and distribute memos, letters, reports, and other documents on behalf of the Managing Director (MD).

Storekeeper

Responsibilities

  • Maintaining organized and updated Store for a business.
  • Use Store management software to upload or scan paper documents, retrieve documents
  • Scan and upload calibration certificates and collect and register all technical documents such as drawings.
  • Should be familiar Electrical Equipment & tools
  • Should have the capabilities to complete the given target on time.

KEY COMPETENCIES

  • Enough capable to complete documentation work on time
  • Responsible to arrange the required equipment, tools, & kits.
  • Should have enough knowledge to understand the work properly
  • Should know how to increase the productivity.
  • Should be ready to take the responsibility at site for his related field.

Skills:

  1. Store Management: Ability to maintain an organized and updated store, ensuring proper inventory control and arrangement of equipment and tools.
  2. Documentation and Software Skills: Proficient in using store management software to upload, scan, and retrieve documents, including technical documents like calibration certificates and drawings.
  3. Technical Knowledge: Familiarity with electrical equipment and tools, understanding their usage and proper storage.
  4. Time Management: Ability to complete documentation and store management tasks within the required time frame, ensuring deadlines are met.
  5. Organization and Inventory Management: Responsible for arranging necessary equipment, tools, and kits, and maintaining proper inventory records.
  6. Problem-Solving and Productivity Improvement: Knowledge of how to increase productivity and streamline operations in the store, improving efficiency.
  7. Responsibility and Accountability: Willingness to take responsibility for tasks on-site and ensure everything is in order for the work to proceed smoothly.
