Customer Operations Agent

YOUR TASKS:

  • Track and trace shipments in adherence to DHL’s network trace standards and ensure that the customer is fully updated on any query or issue within the agreed time of one hour.
  • Accurately process inbound/outbound shipments to ensure on time delivery and collection of Customer material to minimize the possibility of miss pick-ups.
  • Alert origin and destination countries for all urgent consignments and monitor progress and where appropriate, provide all assistance to ensure shipments are delivered within agreed time frames.
  • Monitor and report on transit time performance for inbound and outbound shipments against pre-determined performance targets so that trends can be evaluated, and corrective action taken.
  • Build and develop a harmonious and strong working relationship with all colleagues in Customer location– key contacts and associated sales staff to promote a continued and beneficial business relationship.
  • Handle all shipments in a safe and organized manner to avoid any mishaps, also make sure all documents are prepared and ready with shipper before collecting the shipments. Prepare AWBs and create remote booking.

Skills :

  1. Attention to Detail:
    • High accuracy in shipment tracking and documentation, ensuring shipments are processed correctly and that performance targets are met.
    • Ability to quickly identify discrepancies in shipment performance or documentation and act accordingly.
  2. Time Management and Efficiency:
    • Strong time management skills to track, monitor, and respond to issues within tight timeframes (e.g., updating customers within one hour of a query).
    • Ability to prioritize urgent shipments and ensure time-sensitive deliveries are met.
  3. Customer Service and Communication:
    • Excellent communication skills (verbal and written) to update customers on shipment status and manage their expectations.
    • Strong interpersonal skills to maintain relationships with both internal teams and external customers.
    • Ability to resolve issues quickly and professionally, with an emphasis on customer satisfaction.
  4. Problem-Solving:
    • Proactive problem-solving abilities to anticipate potential issues in the shipment process and resolve them quickly.
    • Ability to identify when corrective action is required to improve shipment delivery and performance.
  5. Logistics and Shipping Knowledge:
    • Knowledge of shipment processes (e.g., AWB preparation, remote booking, and collection procedures).
    • Familiarity with international shipping standards and the ability to understand complex shipment requirements and specifications.

YOUR PROFILE:

  • Sound educational background with an extensive knowledge of the Service Industry.
  • Minimum of two years of prior DHL operations and customer service experience.
  • Working knowledge of Microsoft Word, Excel, and Power Point.
  • Good oral and written communication skills – English & Arabic
  • Self-motivated individual capable of working to set time frames.
  • Self-starter, working most times without supervision.
  • Tolerance for stress in a fast-paced working environment.
  • Excellent planning and co-ordination skills
  • Flexibility to perform various job functions.
  • Strong customer focus

YOUR TASKS:

  • Ensure that a high level of professional rapport is developed and maintained with all customers
  • Manage and develop a specific group of customers with the objective of continuous positive growth across all products
  • Identify, establish and manage multi tiered relationships across customer and DHL organizations to ensure a long-term business partnership and achievement of corporate goals
  • Lead and manage customer presentations and proposals, ensuring there is a common understanding of service expectations and solutions
  • Create a competitive advantage for the customer in his business and price for value on behalf of DHL. Use a consultative approach to understand client’s industry and develop tailored solutions to meet their business needs
  • Develop and keep current an appropriate country account strategy in line with country level business plans, to achieve profitable revenue growth
  • Develop and manage the after sales strategy for each of the designated customers
  • Develop strategies, service initiatives and contingency plans for the effective denial of competitor initiatives with customers to prevent split business and customer defection
  • Functionally manage the development and delivery of services and solutions that provide consistency and re usability to enable account and non account customers to achieve corporate objectives and gain competitive advantage through providing solutions in their business

YOUR PROFILE:

  • 3 years experience in a commercial environment
  • 2 years Consultative Selling experience.
  • Expert knowledge of the DHL Infrastructure, products and services
  • Excellent organisational skills, including ability to prioritise workload
  • Ability to effectively contribute as a team member as part of a busy team
  • Proven ability to work under pressure in a fast paced, time sensitive environment
  • Demonstrated ability to use initiative/judgement to solve job related issues
  • Good understanding of DHL Network
  • Passion to provide excellent Customer Service
  • Right first time philosophy
  • Culturally sensitive.
  • Strong customer service orientation.
  • Excellent numeric, written and oral communication skills (English).
  • Ability to operate and functionally manage people in an informal matrix structure. (Networking, persuasive and negotiation skills.)
