- Maintains receipts, records, and withdrawals of the stockroom.
- Receive, unload and shelve supplies.
- Perform stock-related duties to include returning, packing, pricing and labeling supplies.
- Inspect deliveries for damage discrepancies and report those to accounting for reimbursements and record keeping.
- Ensure adequate record keeping and manage all documentation to confirm proper stock levels and maintain inventory control.
- Coordinate the handling of freight and the movement of equipment.
- Generate reports on inventory, stock usage, and shortages.
- Coordinate with the procurement team for stock replenishment.
- Other tasks as may be required by management.
- Any ERP knowledge is an added value.

Duties of a Storekeeper
1. Inventory Management
- Receiving Goods: Accept deliveries of goods and verify them against purchase orders, ensuring the correct quantities and quality.
- Stock Inspection: Check the condition of incoming goods and ensure they match the specifications, including expiration dates for perishable goods.
- Stock Rotation: Implement “First In, First Out” (FIFO) or “Last In, First Out” (LIFO) inventory practices to minimize spoilage or obsolescence of stock.
- Stock Tracking: Maintain accurate records of all items in stock, including serial numbers, batch numbers, and locations.
- Stock Replenishment: Monitor stock levels and ensure inventory is replenished before it runs out, alerting managers when it’s time to order new supplies.
2. Issuing and Dispensing Goods
- Issuing Stock: Issue materials or products as requested by authorized personnel or departments.
- Proper Documentation: Ensure that all stock issues are properly documented with the necessary paperwork, such as requisition forms or delivery notes.
- Inventory Control: Ensure that all stock movements (receiving, issuing, and transferring stock) are properly recorded in the inventory system.
3. Storage Organization
- Organizing Stock: Ensure proper storage of materials and products, categorizing and labeling them for easy identification.
- Safety Compliance: Follow safety guidelines for storing hazardous materials or perishable goods, and ensure proper shelf life management.
- Space Optimization: Maximize the use of available storage space by organizing stock efficiently and ensuring that items are easily accessible.
4. Stocktaking and Reconciliation
- Regular Stock Counts: Conduct regular physical inventory counts to reconcile the actual stock with recorded figures in the inventory management system.
- Auditing: Perform periodic stock audits and assist with annual audits to ensure the accuracy of stock records and identify discrepancies.
- Reporting: Prepare and report stock levels, stock movements, and discrepancies to management regularly.
5. Maintenance of Store and Equipment
- Store Cleanliness: Maintain cleanliness and orderliness in the store or warehouse, ensuring it is free from clutter and hazards.
- Equipment Maintenance: Check and maintain equipment such as forklifts, pallet jacks, shelving units, and other tools used for stock handling.
- Damage Control: Inspect goods regularly for damage or deterioration and take corrective actions (such as returning defective items to suppliers).
6. Documentation and Record Keeping
- Inventory Records: Keep accurate records of all stock movements (receiving, issuing, returns) and ensure all documents are filed and stored properly.
- Reports: Prepare and submit regular reports on stock levels, inventory movements, and discrepancies to management.
- Compliance: Ensure that all stock transactions comply with company policies and regulations.
7. Communication and Coordination
- Liaison with Suppliers: Communicate with suppliers to arrange orders, follow up on deliveries, and resolve any issues related to goods received.
- Interdepartmental Communication: Coordinate with various departments (sales, purchasing, etc.) to ensure they have the necessary stock for their operations.
- Customer Support: If applicable, assist customers or other departments in locating specific items or providing product information.
8. Security and Loss Prevention
- Stock Security: Monitor the store or warehouse for any signs of theft or unauthorized access and report any suspicious activity.
- Loss Prevention: Ensure stock is securely stored and that proper procedures are followed for handling and issuing goods to minimize loss.
- Damage Control: Regularly check stock for any damage and ensure damaged items are reported and dealt with appropriately.
9. Compliance with Health and Safety Standards
- Safety Regulations: Follow health and safety regulations and protocols to ensure a safe working environment for all store or warehouse employees.
- Personal Protective Equipment (PPE): Ensure that appropriate PPE is worn when handling hazardous materials or working in dangerous conditions.
- Training: Stay updated with safety training and regulations related to stock handling and storage.
