Temporary Administrative Assistant

Responsibilities:

This position requires a proactive and organized individual who can provide administrative and office support to the overall team to facilitate day-to-day operations smoothly and efficiently.

The successful candidate will understand and adhere to the Values, Mission and Vision of UDST and provide administrative and secretarial support.

The successful candidate will serve as a primary point of direct administrative contact and liaison with other offices, individuals, external institutions and agencies on a range of issues; utilize knowledge and understanding of underlying operational issues to assist in administrative problem solving.

The successful candidate will provide support for associated activities that includes managing the schedule/calendar, making travel arrangements, screening and handling telephone communications, greeting and directing visitors and dealing with administrative problems/inquiries as appropriate.

The incumbent will organize and facilitate meetings, conferences, and special events as requested; schedule and coordinate date and time, venue, attendance, agenda and facilities, take minutes/notes and provide administrative support along with follow-up on matters arising from meetings.

The successful candidate will establish and maintain files/records; gather, enter, and/or update data to maintain records, files and database, as appropriate in addition to being responsible for the administration, security, confidentiality, and retention of office files.

The successful candidate will create, compose, and edit technical and/or administrative correspondence and documentation; prepare a variety of technical, statistical, financial and narrative report, letter, memo, and other written correspondence and screen/evaluate incoming and outgoing correspondence and prepare response as appropriate.

The incumbent will serve as front desk receptionist/admin assistant during meal breaks, rest periods, and at other times when needed.

The successful candidate will assist in the coordination, control, and completion of special projects; prepare presentations, assist other administrative assistants and perform assigned tasks specific to the respective Business Unit.

The successful candidate will serve as an integral component in staff, faculty and student activities as directed by the line manager.

Qualifications:

Education and Certifications:

Diploma is required in Administration Management or related field is required
Experience:

Minimum 3 years of experience in administrative support preferred.
Language:

Supervisor, ERP

Responsibilities:

This position requires a meticulous individual who will manage the development of IT Applications, whilst ensuring best practices and industry standards are being met, in compliance with UDST policies and protocols. Additionally, S/He will be responsible for liaising with internal and external stakeholders to identify UDST requirements and provide business-optimizing solutions.

The successful candidate will set UDST priorities and identify emerging IT opportunities that can be addressed to enhance UDST initiatives, operations, and collaboration among business units and faculty.

The successful candidate will manage the development of PeopleSoft ERP applications, ensure that quality assurance, policies and procedures are in alignment with ITIL, UDST IT design and development protocols as well track all programming changes and oversee ERP Applications development. S/ He will provide regular reports to the Business Applications Department Head, as required.

The successful candidate will support UDST initiatives and work collaboratively to increase the efficiency of IT business process solutions across all business units and maintain ongoing communication with vendors, also remain current with software trends and emerging technologies to optimize Application functionality. S/He will maintain an up-to-date knowledge in industry standard web development technologies and languages, and also ensure compliance with industry best practice and UDST policies.

The successful candidate will organize ERP Application service strategies, develop and promote best practices for usage operations and development. Also oversee developers and administrators in architecting appropriate design and expansion. S/He will manage and support the ERP Development Team and work collaboratively with the Digital Solutions Supervisor to provide leadership and recommendations on how to effectively fulfill UDST IT needs.

The successful candidate will oversee application development and administration to ensure ITIL and UDST protocols are being enforced and ensure compliance. S/He will confirm coding and data protection practices are in effect to ensure compliance and data security across all systems and databases, and confirm consistency and compliance.

Laboratory technologist – Temporary

Responsibilities:

To support the technical requirements for implementation of laboratories and simulations; to provide support for equipment setup and breakdown, program simulation scenarios into software, operate software and audiovisual equipment during simulations, and provide onsite lab and equipment maintenance.
Key Duties:
1.Provide technical support and expertise for laboratories and simulation operations and technology.
2. Operate, troubleshoot and maintain highly specialized lab and simulation technology, equipment and supplies.
3. Manage the start-up, calibration, seamless operation and shut-down/dismantling of the high-fidelity human patient simulators, technology driven manikins and task trainers, virtual/haptic devices and digital/video interfaces used for simulation activities.
4. Ensure all equipment for labs and simulations are running properly and efficiently.
5. Serve as a resource for faculty utilizing labs and simulation equipment; collaborate and educate faculty to support teaching, learning and research using simulation technology.
6. Provide specialized technical support for all simulation events using computer generated and high-fidelity manikins, virtual platforms and electronically driven resources.
7. Maintain an inventory of supplies and equipment required for labs and simulations.
8. Lifting and transport of heavy lab equipment from one classroom to another
9. Manage the installation, testing and maintenance of software upgrades on all technology-based simulation resources.
10. Evaluate need and oversee the orientation and training for faculty and students using existing and newly acquired technology to support teaching and learning.
