You will promote high standards of corporate values through correspondence, telephone and personal contact. You will handle confidential and sensitive issues, which require a high degree of discretion and tact.<\/p>\n\n\n\n<p><strong>Responsibilities:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u00a0 \u00a0 \u00a0\u00a0Perform administrative and operational support to the department and coordinate external visitor&#8217;s unit visit and ensures that customer requests are addressed accordingly.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Provide timely and accurate responses to internal\/external customer queries through various channel such as phone, email or in person.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Respond to Customer related complaints and Voyage report (VR) in timely manner, assist and explain procedures and policies in response to inquiries and request for further information if required.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Ensure all interactions are handled professionally and escalate complex or unresolved customer complaints and issues to the appropriate department following established escalation procedures.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Assist with preparing presentations or documentations for meetings, attend departmental meetings, take details and accurate minutes, distribute them to relevant stakeholders promptly and ensure that action items from meetings are clearly documented and followed up on, tracking progress and deadlines for completion.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Assist in handling incoming and outgoing departmental correspondence, including emails, phone calls, and mail, ensuring timely responses.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Screen and prioritize communications to ensure that urgent matters are addressed quickly.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Check all incoming documents and ensure complete and accurate information is provided to fast track required approvals.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Monitor office supplies, materials, and equipment for the department, placing orders when necessary and ensuring adequate stock levels.<\/li>\n\n\n\n<li>\u00a0 \u00a0 \u00a0\u00a0Perform other department duties related to his \/ her position as directed by the Head of the Department.<\/li>\n<\/ul>\n\n\n\n<p><strong>Be part of an extraordinary story<\/strong><\/p>\n\n\n\n<p>Your skills.
